ScionHealth is recruiting for an Executive Assistant to join our team on-site in our Franklin Support Center.  This role will have responsibility for supporting multiple executives and have administrative responsibilities related to the Legal function.  

Job Summary

The Executive Assistant performs highly diverse administrative duties, including handling multiple projects simultaneously, acting as a mentor for Administrative Assistants, coordinating meetings and conferences, preparing information for presentations through use of computer, organizing travel arrangements, maintaining confidentiality of information distributed or received.

Position Responsibilities

  • Managed Executives’ calendars and independently schedules appointments.
  • Screens incoming calls and correspondence and responds using discretion as appropriate.
  • Prepares memorandums outlining and explaining administrative procedures and policies.
  • Arranges programs, events, or conferences by arranging for meeting areas and caterer, issuing information or invitations, coordinating speakers, and controlling event budgets.
  • Directs preparation of records, including agendas, notices, minutes, and resolutions for Support Center meetings.
  • Composes and prepares confidential presentations, correspondence, reports, and other complex documents.
  • Creates and maintains database and spreadsheet files.
  • Arranges complex and detailed travel plans and itineraries. Compiles documents for travel-related meetings and accompanies supervisors, as requested.
  • Manages communications and receives and compiles information from Executives’ direct reports and functional areas under Executives’ supervision.

Skills Needed

  • Proficient computer skills, including advanced knowledge of Microsoft Word, Excel, Access, PowerPoint, and Outlook.
  • Strong interpersonal and organizational skills.
  • Ability to self-direct and self-pace.
  • Ability to pay close attention to detail.
  • Ability to work well with others in a team environment.
  • Multi-task oriented.
  • Proficient typing skills of 60+ wpm.
  • Ability to maintain a high level of confidentiality.

Qualifications

Education and Experience

  • High school graduate or equivalent.
  • 5+ years administrative or secretarial experience, preferably in a large corporate environment reporting to one or more senior management level individuals.
