Job Summary

Performs highly diverse administrative duties, including handling multiple projects simultaneously, acting as a mentor for Administrative Assistants, coordinating meetings and conferences, preparing information for presentations through use of the computer, organizing travel arrangements, maintaining confidentiality of information distributed or received.

Essential Functions

  • Manages Executive's calendar and independently schedules appointments.
  • Screens incoming calls and correspondence and responds using discretion as appropriate.
  • Prepares memorandums outlining and explaining administrative procedures and policies.
  • Arranges programs, events or conferences by arranging for meeting areas and caterer, issuing information or invitations, coordinating speakers and controlling event budgets.
  • Directs preparation of records, including agendas, notices, minutes and resolutions for Support Center meetings.
  • Takes and transcribes dictation, and composes and prepares confidential correspondence, reports and other complex documents.
  • Creates and maintains database and spreadsheet files.
  • Arranges complex and detailed travel plans and itineraries. Compiles documents for travel related meetings and accompanies supervisor, as requested.
  • Manages correspondence, meetings, etc. with outside officials.
  • Manages communications and receives and compiles information from Executive's direct reports.

Knowledge/Skills/Abilities/Expectations

  • Advanced computer skills, including Word, Excel and Access and PowerPoint.
  • Strong interpersonal and organizational skills.
  • Ability to self-direct and self-pace.
  • Highly detail orientated
  • Ability to work well with others in a team environment.
  • Skilled in balancing multiple tasks
  • Proficient typing skills of 60+ wpm.
  • Ability to maintain a high level of confidentiality.
  • Approximate percent of time required to travel: 10%
  • Must read, write and speak fluent English.
  • Must have good and regular attendance.
  • Performs other related duties as assigned.

Qualifications

Education

  • High school graduate or equivalent

Experience

  • Five years administrative or secretarial experience
  • preferably in a large corporate environment reporting to a senior management level individual.
